THE CHALLENGE
EZeBld Platform’s project management processes were slowed by manual work, disconnected tools, and limited visibility. Critical workflows like task management, budgeting, and communication were spread across spreadsheets, apps, and custom integrations—resulting in delays, errors, and inefficiency.
Additionally, the business required a flexible roles and permissions model to support multiple user types (Project Managers, Clients, Subcontractors, Sales).
Day-to-day work such as document handling, approvals, and communications was performed manually, leading to wasted time, frequent errors, and reduced productivity for both field workers and managers.
Teams relied on unintegrated systems like Google Sheets and Monday.com, which created fragmented data, hindered collaboration, and slowed down project coordination. Using separate tools for managing leads and projects with custom integrations further created data silos and workflow inefficiencies.
Without centralized dashboards and predictive analytics, project managers lacked visibility into performance and budgets. This made it harder to anticipate risks, manage changes, or prevent costly delays.

THE SOLUTION
To modernize construction project management, DATAFOREST developed a modular web platform and mobile application with embedded AI. Field workers can instantly update tasks and report issues, while project managers access real-time insights into timelines, budgets, and risks.
Delivered as a subscription-based SaaS platform, the solution consolidates all workflows—leads, tasks, documents, budgets, invoices, and communication—into a single interface. AI-driven automation powers proactive task monitoring, predictive forecasting, and smart resource allocation, reducing manual effort and operational risks.
The platform leverages AI automation for decision-making, data processing, and task management. Predictive analytics forecast potential delays and budget risks, while automated workflows streamline approvals, lead management, and customer communication. Workers can instantly update tasks and report problems via an AI-powered chat enhanced with Retrieval-Augmented Generation (RAG), which pulls accurate, context-specific information from project data. This ensures workers get the right answers immediately, reduces back-and-forth communication, and minimizes errors caused by outdated or missing information.
We built a unified platform that integrates subcontractor data, project documents, tasks, budgets, invoices, and communications into one interface. This eliminated the need for switching between Google Sheets, Monday.com, and other disconnected tools. Managing leads and projects through one system also resolved data silos caused by scattered integrations. In addition, mobile app access ensures that field workers and managers can update tasks, track progress, and share information instantly while on-site, improving coordination and responsiveness.
We implemented centralized dashboards, automated approval workflows, and AI-powered predictive analytics to give stakeholders clear, real-time visibility. Project managers receive automated alerts and reminders about risks, budget deviations, and timeline shifts, enabling proactive decision-making. As a result, budget approval times were reduced from several days to just 3–6 hours
